Situation

You are an admin wanting to manage users logins, and access levels.


Prerequisites

These are the requirements to be able to manage users logins and access levels:

  • One of the following accesses to the Dropsuite platform
    • Full Admin
    • IT Admin
    • Group Supervisor (This will work for all users in groups you have admin access to)

Managing Users Logins

The below is how to enable login for internal users to the backup platform whos email is being backed up. Keep in mind if in the future you wish to disable their login, you will need to follow the same path.

  1. Login to the backup dashboard using your admin credentials.

  2. Select your user icon in the top right corner, and then "User Management".


  3. You will then select "Grant Permission".


  4. Under "Login Status", toggle the slider for the users you wish to be able to login to the backup platform.


  5. Next, select "Save Changes". The user will then be invited to the backup platform via an invite link sent by email.

Granting Permissions

When inviting users to the platform, you will also want to give them access levels. This section will show where and how to set their access level.


Where to find & set permissions

This section shows how to get to the permissions, and how to set them.

  1. Select your user icon in the top right corner, and then "User Management".


  2. You will then select "Grant Permission".


  3. Next, beside each user under the "Permission" dropdown, select which access level you require for that user.


  4. Once selected for these users, you can then click "Save Changes"


Important Mentions

  • If selecting the "Group Admin" permission, you will also need to assign them a group which they will be the admin on under "Grant Permission for Department(s)". If you have created Departments, they will show in a dropdown when selecting the blank box. Also seen here:


  • You can also select the "All Permissions" dropdown to filter by users with the selected permission.

Access Levels

The following is a table of all available access levels, and what is included in each one.


Access LevelWhat is included
Full Admin
  • Full admins have access to all capabilities.
  • In terms of backed up emails they have access to view, download, restore, migrate and search any of the emails for all users.
  • Access to setting user permissions, compliance policies, viewing logs & setting legal holds.
  • Capable of setting up the review processes.
Group Supervisor
  • Group admins have all accesses for departments that they are set as the admin of.
  • In terms of backed up emails they have access to view, download, restore, migrate and search any of the emails for all users that are a part of the departments they are an admin of.
  • Access to setting user permissions, compliance policies, viewing logs & setting legal holds.
  • Capable of setting up the review processes.
IT Admin
  • IT Admins are capable of adding users, edit users, delete users, deactivate users and set their permissions.
  • In terms of backed up emails, they can restore, download or migrate anyone in the company's email.
  • Although they can not view the users email in entirety, they can view the metadata such as the email's header, subject, from & to fields.
  • They also have access to setting up compliance policies.
User
  • End Users can only view, download, restore, migrate and search their own emails.
User View and Restore
  • The read only permission allows a user to view, restore and search their own emails.
Compliance and Review Officer
  • This access is only available for the Dropsuite Archiving + Backup Product subscription.
  • With this access a user can access the eDiscovery search, alerts, view audit logs, retention policy, legal hold and the review process tab.
Reviewer
  • This access is only available for the Dropsuite Archiving + Backup Product subscription.
  • With this access a user only has access the review process tab.
  • Although they can not set up the review process, they can review all review processes that have been set up by an account owner, super admin or compliance officer. 
Limited Reviewer
  • This access is only available for the Dropsuite Archiving + Backup Product subscription.
  • This access level will allow a user to only be able to review the saved searches that are under the review process that have been specifically saved for them to view.
Data Protection Officer
  • This access is only available for the Dropsuite Archiving + Backup Product subscription.
  • This access level grants access to the entire compliance tab.
  • They are able to delete emails using eDiscovery.
