 Configuration and synchronization procedures

 

Prerequisites:

Before you set up and synchronize your data in Sherweb’s partner portal and Kaseya:

  • Create and/or update the Kaseya contracts that need to be synchronized. The contract Billing Cycle must be "Monthly."

     

 

 

Important notes:

  • Due to how the Kaseya BMS application works, the integration does not support the prorated pre-billing option.

  • Yearly paid subscriptions can be mapped and synchronized to Kaseya. Please review this document for more details on how this works: Kaseya: Synchronization of yearly paid subscription 

  • Unit Cost is synchronized without performance tier.

  • Unit Price is not synchronized. These values must be manually configured in Kaseya.

  • Depending on the type of product you purchased from Sherweb, the data will be synchronized in Kaseya at different frequencies.  For example: 

    • Recurring quota-based offers like Microsoft 365 are synchronized immediately when a change is made in the Sherweb portal.

    • The quantity of usage-based offers like Online Backup, Proofpoint, SentinelOne, Azure and Performance Cloud is synchronized on your billing date. 

    • The quantity of usage-based offers like Office Protect and QuickHelp is synchronized as soon as the usage is updated in the Sherweb portal. 

  • If you choose to prorate licenses, all transactions will be sent to Kaseya with the actual date that the transaction occurred.

  • If you choose not to prorate licences, all transactions will be sent to Kaseya with the start date of the billing period.

 

 

  1. In the partner portal, click Setup.

  2. Click Billing Integrations.

  3. Click Setup Connection in the Kaseya tile.

 

  1. Enter the company name.

  2. Enter your username and password.

  3. Click Test Connection.

  4. When the Test Connection button turns green (indicating that the connection is successful), click Next.

 

  1. Select the configuration option corresponding to your billing method. (Note that once saved, this option can no longer be edited).

  2. Select Prorate Licenses option, if desired.

  3. If you do not want the Unit Cost to be synchronized, deselect the option in the Synchronization section.

  4. Click Save and Continue.

 

 

  1. Select the Kaseya Sync tab.

  2. Click Start.

 

 

  1. In the Offer Mappings tab, if you want to synchronize an offer with a Kaseya service, toggle on the Sync option.

  2. Select the Kaseya service that you want to associate with an offer.

  3. When mappings are completed, click Save.

 

 

  1. In the Organization Mappings tab, select a Kaseya account to combine with an organization in the partner portal.

  2. If you want to synchronize an offer and a Kaseya contract, activate the Sync option.

  3. Select the Kaseya contract.

  4. When mappings are completed, click Save and Sync.

 

 

  1. Before you bill in Kaseya, make sure that you don’t have a synchronization error. To do this, click on the Status tab. 
    If there are synchronization errors, they will be displayed in this window. If this is the case, correct them and do a manual synchronization by clicking Resync erroneous items.
