How to send emails from multiple FROM addresses in Outlook 2013

Synopsis

This guide will show you how to send emails as different accounts in Outlook 2013*.

How to

Outlook only allows one Exchange account to be created per Outlook Profile, so here is a workaround:


Option 1: All Exchange accounts


Done once:

  1. Open Outlook.
  2. Create a separate profile for each mailbox.
  3. Within each profile, right click on the mailbox (top of the list on the left hand side) and give full permissions to the main user. Do the same for all subfolders.
  4. Within each profile, go to Tools - Options. 
  5. Click on the Delegates tab.
  6. Click on Add to enter the main user account.


Done on each computer: 

  1. Open Outlook.
  2. Open the main profile.
  3. Right click on Mailbox - Your name located in the Navigation Pane and then click on Properties for "Mailbox - Your name"
  4. In the General tab, click on Advanced.
  5. Click on the Advanced tab.
  6. Click on Add.
  7. Enter the address of one of the other mailboxes and do this for all the Exchange mailboxes.
  8. Click on Apply and then on OK.
  9. Click on OK again. 


Result: This will allow each user to use their own mailbox if needed. It will also allow the main user to view each mailbox, select any message and when replying, only have to enter the address they would want to “send on the behalf of”.


Option 2: One Exchange account and multiple POP accounts


Done on each computer:

  1. Open Outlook.
  2. Go to Tools - Account Settings.
  3. Click on New. 
  4. Follow the steps to add each POP account to that profile. Please refer to: How to configure Outlook 2013 using POP3 ).


Note: In Outlook, the user can allow all messages to go into the one inbox or create rules to have them moved to separate folders.


Result: This will send all messages to the one Exchange Mailbox. When replying, forwarding, or sending new messages, there will be a button under the Send button called Account and the user can use that to choose which account to send as. 


Note: You can change the setting “Deliver new e-mails to the following location” by going to Tools - Account settings.
