How to restore a Microsoft 365 mailbox using Online Backup (NEW!)

Synopsis

This guide will explain how to restore Microsoft 365 mailboxes that have been backed up using Online Backup.

Prerequisite

You must have an Online Backup administrative account and be a Global Administrator of an Microsoft 365 organization. 

What can be restored?

You have 2 options when restoring a mailbox: 

  • Entire mailbox
  • individual items

 

The following items can be recovered from a mailbox backup:

 

  • Mailboxes
  • Email folders
  • Email messages
  • Calendar events
  • Tasks
  • Contacts
  • Journal entries
  • Notes

 

You can use search to locate the items.

 

When a mailbox is recovered to an existing mailbox, the existing items with matching IDs are overwritten.

 

Recovery to a new mailbox is not possible. You must first create a new Microsoft 365 user manually, and then recover items to this user's mailbox.

 

Recovery to a different Microsoft 365 organization or to an on-premises Microsoft Exchange Server is not supported.

 

Recovery of mailbox items does not overwrite anything. The mailbox items are always recovered to the Recovered items folder of the target mailbox.

How to

1. Log into the Online Backup web console.

 

2. Click DEVICES and then Microsoft Office 365.

 

 

3. Your organization’s mailboxes will be listed. Select the mailbox you wish to restore and click RECOVER. If the mailbox was deleted, select the BACKUPS tab, and then click Show backups.

 

 

4. Select the restoration point that you wish to use, and click RECOVER.

 

 

5. You will have 2 recovery options: Email messages and Mailbox.

To Recover email messages:

  • Select Email messages.

 

 

  • From here you will see the mailbox folders, as well as the messages within each folder. You can search for a specific message using the Search button, or select an alternate restore point to search.

 

 

  • Select the message(s) you wish to restore.

 

  • Once messages are selected, click RECOVER on the right-hand side. You also have the option to view the message by selecting Show Content, or you can Send as email.

 

 

  • Recover allows you to restore to the original mailbox, or to a different mailbox in your organization. By default the original mailbox is displayed. If the original mailbox does not exist, you must specify the target mailbox. Select Original to browse other mailboxes to restore to. When you have selected your options, select START RECOVERY.

 

 

Note: Restored messages are placed in a mailbox folder called Recovered items. Each recovered item can be found in a sub-folder within Recovered items, named for the original folder. Example: If you restore an item from your Inbox, a sub-folder called Inbox is created in the Recovered items folder.

 

To Recover Mailbox:

  • Select Mailbox.

 

 

  • Recover allows you to restore to the original mailbox, or to a different mailbox in your organization. By default the original mailbox is displayed. If the original mailbox does not exist, you must specify the target mailbox. Select Original to browse other mailboxes to restore to. When you have selected your options, select START RECOVERY.
