Situation

You are needing to know how to view and use the audit logs.


Prerequisites

You will need the following to view and handle the audit logs:

  • One of the following Dropsuite accesses:
    • Full Admin
    • Group Supervisor (For users who are within the group you are an admin of)
    • Data Protection Officer (DPO)
    • Compliance and Review Officer

Audit Logs

Below will explain how to get to the audit logs, search criteria & results given in the audit logs, as well as how to download results.


Finding the Audit Logs

  1. Log into the Dropsuite platform using the proper access level.

  2. Next, navigate to the compliance tab and select "Audit Log".

  3. You should then be brought to a page that resembles the following:


Search Criteria & Results

The below chart will explain the 3 sections you can search in the audit logs and the type of content they will retrieve, search criteria that can be used, and what kind of information is given in search results.

Message & File Audit Logs:
Downloads, Restores, Viewing, Review Processes, etc. 
  • Date Range: This is where you will specify a date range you are needing to search the content from.
  • User: This is used to find data pertaining to a backed-up specified user.
  • Archive ID: This is used to search if you have an exact archive ID that you need to find results for.

User Activity Log:
Email accounts added, edits, downloads, configurations, etc.
  • Date Range: This is where you will specify a date range you are needing to search the content from.
  • User: This is used to find data pertaining to a backed-up specified user.
  • Object Name: This is where you can specify the objects name if it is needed to narrow down results.

System Activity Log:
System generated such as password reset emails being received or sent, seats not being upgraded, downloads being completed, etc.
  • Date Range: This is where you will specify a date range you are needing to search the content from.
  • User: This is used to find data pertaining to a backed-up specified user.

Downloading Results

  1. One results have been generated and you need to download this content, select the "Download" button and then select to "Download as CSV".

  2. You will then be brought to the "Download List" tab where your download will process, and then be given in the form of a "Download Link". All you will need to do is select this link and the CSV will then be downloaded to your device.


Important Mentions

Here is anything that could be important to note when viewing and using the audit logs:

  • When generating results in the audit logs, it is possible that you will come across a large number of results. To filter these options, do the following:
    1. Select "List Options" in the top right corner.

    2. Select the type of search you are doing.

    3. Next, select the filters you need and click "Search".
